Summary


The Outside Sales and Special Events Coordinator works in a fast-paced, deadline-oriented environment. They juggle many tasks at once and must be able to think on their feet. They work closely with other members of the team, as well as with clients and are responsible for increasing sales by developing and maintaining relationships with customers and clients.


Essential Duties and Responsibilities


The Outside Sales and Special Events Coordinator has a wide range of responsibilities, which include:


  • Identifying and establishing contact with potential retail and wholesale customers
  • Conduct presentations to demonstrate to potential customers the benefits of our products.
  • Following up on potential sales leads
  • Establish and maintain healthy, long-term relationships with customers to generate repeat business and referrals
  • Addressing customer inquiries regarding facilities, room rates and services
  • Preparing proposals, contracts, reports and event orders throughout the sales process
  • Serving as the point of contact for customers
  • Communicating with customers by phone and email to address questions and concerns
  • Coordinating with other team members to ensure that events run smoothly
  • Determining which products will be sold at events based on the client’s needs, budget, and time frame
  • Organizing and promoting events creating flyers and posters and promoting events through social media or other channels
  • Coordinating with management to ensure staff is scheduled to work events
  • Overseeing the smooth operation of events by coordinating registration, setup and breakdown with staff members and contractors
  • Measuring attendance at events and tracking sales results to evaluate performance and make changes to improve future events
  • Communicating with clients to ensure that they are satisfied with the arrangements made for their event
  • Overseeing the creation of print materials, maintain adequate stock of collateral
  • Building a social media presence by maintaining a solid online presence.
  • Monitoring the company's brand on social media
  • Become an expert in our product offerings and serve as a go-to source for clients who want more information concerning our products.
  • Determine new ways to make products appealing by observing the environment and current trends.

Sales And Events Coordinator Skills


There are four critical skills necessary to be successful in this role!


Communication: You should be able to communicate effectively with customers, coworkers and managers. This can include listening to and understanding customer needs, answering questions, and providing information. It can also include communicating with coworkers and managers to relay information and answer questions.


Organization: You should be able to keep track of multiple tasks and deadlines at once. You should also be able to organize and stock inventory, plan events and manage sales data.


Time management: In this role you may be responsible for planning and executing multiple events or sales campaigns at once. Strong time management skills are critical to your success in completing tasks in a timely manner and ensure that the company meets our client’s expectations.


Customer service: You should be able to interact with customers in a friendly and helpful manner. Fully understand products, services, and events to answer their questions. Be able to provide solutions to any issues that may arise.
